Statistics show that Hot Works are one of the biggest fire risks property owners face. Over the last two years, we have seen hot works fires cause losses in excess of £250m, when taking into account both the building damage and associated loss of profits and increased costs of working. Despite this, many companies still use paper permits which gives them little overview of the work being carried out on their sites.
Zurich Smart Permit was co-created with customers and contractors and is a web-based solution for managing permits associated with construction and maintenance work, removing the need for paper permits, and providing a reliable audit trail.
Zurich Smart Permit currently supplies digital Hot Works permit with the view to provide a full suite of permits in the future.
We’re combining an easy to use, digital platform with insurer designed permits to simplify, streamline and enhance the “permit to work” process for large and small organisations alike.
Smart Permit offers a central location shop to approve, deny, view and report on permits across multiple permit types and site locations within your organisation.
No need to download an app, simply scan a QR code to start a permit.
Smart Permit provides a real-time view of all work taking place including work status updates, permit extensions, and photos of the work, creating a reliable audit trail.
An easy-to-use dashboard lets you manage a range of different permits across multiple sites within your organisation.
Notifications are sent at key stages throughout the permit process through both SMS and email, ensuring that site managers always have an up-to-date view of work as its being completed.
You are in control of who can access the tool. You can create, edit and delete users and sites across your entire organisation, and assign the correct people to support any applicable sites.
The Help and Support tab provides access to helpful, informative, and up-to-date Zurich resources.
Contractors can delegate and extend permits when necessary, without impacting the work being completed.
Each permit has been designed by Zurich experts to make your permit process as streamlined as possible.

The site manager (person monitoring the work) shares the site specific QR code or URL with the contractor (person completing the work) who can select a permit to complete and submit a completed permit for approval.
The contractor is notified of the decision via SMS and if approved can begin work. While the work is being completed the contractor can request work extensions, as well as delegate the permit to another worker if required.
For applicable permits, there is a built in “watch period” after the work is completed. Contractors must stay for the whole watch period, and are reminded to submit photos of the site every 30 minutes. They can still delegate this responsibility if needed, passing the permit on to another worker.
Once the work, and any applicable watch period is complete, the contractor simply answers a few post-work questions and can close the permit.
