Data Protection Act 1998 - How your information is used

The following information tells you what Zurich does with the information you give us during the recruitment process and how we protect your privacy. It also explains your rights under the Act.
Where we talk about the Zurich Group in this information we mean Zurich Financial Services and its subsidiaries.

Information will only be sought where it is necessary to enable the recruitment decision to be made or for a related purpose such as equal opportunities monitoring. If your application is successful, in order to comply with regulatory obligations, Zurich operates a formal screening process via a third party.

If you become an employee and we require further personal information from you, you will be told what we do with that information at the time we request it.

Who controls your personal information?

Under the Data Protection Act 1998 we have to tell you who’s responsible for deciding how your personal information is used. This is the Zurich employing company, who acts as the 'data controller' of your personal information. 

Why do we need personal information?

Zurich wishes to appoint the best person for the role, and we need to fulfil our legal obligations and our duties as a responsible employer. To do this well we need to obtain information in respect of your personal situation – your work and education history, salary, and so on.

Sometimes we have to collect and hold information about you which is very private, for instance details about your physical and mental health or any court proceedings. In line with the Association of British Insurers’ (ABI) Code of Practice, the Zurich Group has policies to ensure we keep confidential personal information securely. You can ask us for a copy of the ABI Code.

You can be sure we’ll keep your personal information confidential and use it with care.

How will your privacy be protected?

Zurich is committed to ensuring we protect your privacy. This means we will:

  • Collect relevant information about you fairly
  • Tell you why we’re collecting it and how we’ll be using it
  • Use it only for our recruitment process and to comply with the law
  • Ensure that the information we collect and hold about you is accurate
  • Hold it only for so long as is necessary
  • Keep it secure
  • Share it with third parties only when necessary or required to do so
  • Not send it abroad without ensuring its security
  • Ensure you can exercise your rights under the Data Protection Act 1998.

 

We’ll only share information as explained here, or if the law or a regulator say we have to (for example, the Financial Services Authority (FSA) or the Office of the Information Commissioner).

How do we use your information?

Examples of how we may use your personal information are:

  • To send your information, including health details, to third parties (i.e. recruitment agencies/consultancies, pre-employment screening companies), who may carry out work on our behalf e.g. for advertisement response handling, selection, vetting and screening purposes including credit checks. This may include companies outside of Europe
  • To deal with administration e.g. to enter your details on the HR system to ensure you are paid correctly, for Management Information reporting, Equal Opportunity monitoring, to meet Inland Revenue and Department of Social Security requirements
  • To contact you with details of recruitment activity e.g. times and dates of interviews and/or assessment centres
  • To comply with the expectations of our regulators
  • To perform data analysis in order to protect the company and/or its customers from potential financial crime activities
  • To identify you when you contact us.

Your health information

We may use details about your health, such as the information you give us on the ‘Statement of Health’ form and any reports from your doctor/specialist/consultant to decide whether or not we need to make reasonable adjustments under the Disability Discrimination Act. 

The Human Resources function will have access to your ‘Statement of Health’ form, which may be passed to the Company Medical Adviser, consultants, specialists and 3rd parties appointed by the company as and when appropriate.

What are your data protection rights?
You have certain rights under the Data Protection Act 1998. These include the right to:

  • Ask for a copy of your personal information  - we reserve the right to charge £10 for this
  • Stop us sending you marketing material about products and services
  • Correct information that is wrong.
